Why book with Moon Glow? Wouldn't it be cheaper to book directly with the performer?
Entertainers are first and foremost - entertainers. They may not always be the best at the administrative or communication side of the booking process. Their last minute cancellation could leave you without entertainment for your event.
When you book with us, we make ourselves easily accessible for your questions and concerns. We make sure that all terms are understood and agreed upon before performance agreements are finalized. All the necessary paperwork is processed and copies are given to you in a timely manner. If your original performer is unable to make your event, we will find a suitable replacement or refund your money.
Our performance fees are based on what the musicians charge us for their services. Most likely our quote would be similar to what the performer would quote you directly.

Cost?
Fees are based primarily on:
- Time - this means the contracted time, the time you have requested that the musicians be onsite whether they are performing or not.
- Number of Performers.
- Genre of music - varies based on the experience and availability of the performer or group you are interested in.
- Travel Considerations - this only applies to performances that require the musicians to travel more than an hour outside their homebase and/or if an overnight stay is required.
- Day of week/Time of Year - in some cases, fees may vary depending on what day of the week or time of year your event falls. For example, mid week fees may be lower than weekend fees. Fees during holidays may be higher based on musician availability.
- Flat Fees - apply to some events like wedding ceremonies and cocktail hours based on the ensemble you choose.
When to Book
Musicians who work as fulltime musicians generally book up early so their calendars fill up fast. In order to get the performer or group you are most interested in, it is advisable to book as soon as possible. As a general rule, 3 to 6 months in advance is recommended.
- For "Marquee Performers," a year in advance is recommended.
Contract & Payment
Contract
- Once you have decided on the performer/group you want, a Performance Agreement will be issued either by Moon Glow Entertainment or by the performer/group you are booking. This will be determined during the booking process.
Deposit
- You will need to sign and return the contract with a 50% deposit. The final payment will be due 7 business days before the event date. We can usually accommodate other payment schedules if requested.
- *Please note- Deposits are non-refundable.
Method of Payment
- Currently, we accept personal checks, bank checks and money orders.
After You Book
You will receive a signed copy of the contract and receipt for your deposit. Depending on the type of event you are having, additional information may be needed:
Wedding Ceremony
- No later than 2 weeks before the wedding date:
(1) ceremony selections; (2) order of service.
Wedding Reception
- No later than 2 weeks before the wedding date:
(1) dance selections; (2) flow chart; (3) schedule of announcements
Other Events
- No later than 2 weeks before the event date:
(1) special song requests; (2) flow chart; (3) announcements
Before the Event
Technical Considerations
This will depend on the type of performer/group you have booked. But as a general rule, the following guidelines apply:
Performance Area
- One or two performers: small area with power source
- Three or more performers: 10' X 10' area with power source
Outdoor Events
- Terrain must be: level, flat and dry
- Exposure: No direct sunlight. In case of rain, a covered area must be provided.
Equipment
- In most cases, no additional equipment is needed. However, if your event requires a large sound system, PA and/or special lighting, there will be an additional charge.
Communications
- About 2 weeks before your event, we will contact you to recap all the information. Please feel free to contact us at anytime with questions or concerns.
Day of the Event
Musician Arrival
- This will depend on the type of performer/group you have booked. Musicians arrive with enough time to set up their equipment in order to be ready to perform at the contracted time.
Breaks
- Musicians will break for 10-15 minutes between sets. Most sets run 45 minutes. The performers will work with you to accommodate breaks around the flow of your event. Recorded mp3 music can be played during breaks if requested.
Meals
- As a courtesy, we request that you provide a 'vendor meal' to the performers. Your caterer or onsite venue coordinator can assist you with this.
Gratuities
- Musicians always appreciate tips. This is left to client's discretion.
Overtime
- This can be negotiated with the musicians onsite.
